4A. Email Communications

We send several categories of email. The following summarises the types, legal basis, and your choices. For full details see our Email Communications & Marketing Notice.

Transactional / Service Emails

Emails sent as part of a service you have requested — such as enquiry confirmations, viewing confirmations, valuation acknowledgements, and sales progression updates. These are sent on the legal basis of Contract (Art. 6(1)(b)) or Legal Obligation (Art. 6(1)(c)) and do not require marketing consent.

Marketing Emails

Property news, investment opportunities, market updates, and promotional content. We send these only where you have given us prior explicit consent (PECR Reg. 22(2)) or where the soft opt-in exception applies to existing clients (PECR Reg. 22(3)). Legal basis: Consent (Art. 6(1)(a)). You may withdraw consent at any time by clicking the unsubscribe link in any marketing email or by contacting us directly.

Property Alert Subscriptions

Emails notifying you when a property matching your search criteria is listed. These are sent only following a double opt-in confirmation. Legal basis: Explicit Consent (Art. 6(1)(a), PECR Reg. 22(2)). Each alert email includes links to pause, update, or unsubscribe.

Consent Records

Where consent is the legal basis for sending email, we maintain a consent record containing the date, time, IP address, source URL, and exact wording shown at the time of consent. These records are retained for 6 years following withdrawal of consent, in accordance with our accountability obligations under Art. 5(2) UK GDPR.

Email Retention

  • Transactional email logs: retained for 7 years
  • Marketing consent records: retained for 6 years following withdrawal
  • Property alert subscriptions: retained while active; suppression records kept indefinitely

6. Data Retention

We retain personal data only for as long as necessary for the purposes for which it was collected, or as required by law. AML-related records are typically retained for a minimum of five years following the end of a business relationship. For email-specific retention periods, see Section 4A above.
